Last Updated: July 14, 2026
This Privacy Policy explains how Snorin’ Seamus and Heart Shaped Entertainment Media (“Captain’s Crew,” “we,” “us,” or “our”) collect, use, store, and disclose information when you interact with the Snorin’ Seamus Discord bot, Twitch integrations, Captain’s Crew website, game services, and related features collectively referred to as the “Service.”
By using the Service, you acknowledge the practices described in this Privacy Policy.
1. Information We May Collect

We may receive:
- Discord user IDs, server IDs, channel IDs, role IDs, and message IDs.
- Discord usernames, display names, server nicknames, and avatar references.
- Twitch user IDs, usernames, channel information, and related integration data.
- Captain’s Crew account or player profile identifiers.
- Steam or other connected platform identifiers when account linking becomes available.
- Information showing that two or more platform accounts have been linked to the same Captain’s Crew profile.
We generally rely on stable platform identification numbers rather than attempting to identify users by their real-world identity.
Commands, Mentions, and Conversation Content
When you interact directly with Snorin’ Seamus, we may process:
- Slash commands and command options.
- Messages that mention, reply to, or directly address Snorin’ Seamus.
- Direct messages sent to Snorin’ Seamus, when supported.
- Conversation context needed to understand and respond to a request.
- Feedback, reports, or support messages you submit.
Snorin’ Seamus is not intended to indiscriminately collect every message in a server. Message access may nevertheless depend on the permissions and features enabled for a particular community.

We may collect:
- Server settings and preferences.
- Authorized channels and administrative roles.
- Welcome, announcement, moderation, or response settings.
- Feature enablement and integration status.

Depending on the features enabled, we may store:
- Crew Coins, rewards, achievements, streaks, and progression.
- Inventory, companion, quest, or game-related records.
- Participation in events, activities, or community interactions.
- Preferences and limited character memory.
- Dates and times of interactions.
- Records needed to prevent duplicate rewards, fraud, or abuse.
Technical Information
We may automatically collect:
- Request dates and times.
- Error reports and diagnostic information.
- Service performance and uptime information.
- Authentication and integration status.
- Security events, rate-limit activity, and suspected abuse.
- Internet Protocol addresses when they are necessarily received by our websites, servers, or hosting infrastructure.
- Browser or device information when you visit our website.
Information We Do Not Intentionally Request
Please do not provide Snorin’ Seamus with:
- Passwords or authentication tokens.
- Credit card or banking information.
- Government identification numbers.
- Precise home addresses.
- Private medical information.
- Other highly sensitive personal information.
2. How We Use Information
We may use information to:
- Operate and provide Snorin’ Seamus.
- Understand commands and generate responses.
- Maintain user profiles, account links, preferences, rewards, and progression.
- Provide different experiences for community members, administrators, and authorized Captain’s Crew personnel.
- Remember limited information when a memory feature is enabled.
- Keep community-specific information appropriately separated.
- Send requested announcements, notifications, or account-related communications.
- Diagnose errors and maintain system reliability.
- Detect spam, fraud, manipulation, unauthorized access, and other abuse.
- Enforce our Terms of Service and community rules.
- Improve existing features and develop new ones.
- Comply with legal obligations and platform requirements.
We do not sell personal information.
We do not use private Discord messages or community conversations to create advertising profiles.
3. Artificial Intelligence Processing
Some Snorin’ Seamus conversations may be processed by artificial intelligence systems to understand messages and generate character-based responses.
Information sent for AI processing will be limited to the context reasonably needed to provide the requested feature. Depending on the systems used, this may include your command, message, display name, relevant conversation context, and approved information from your Captain’s Crew profile.
We will configure providers and integrations to protect user information where reasonably possible. However, users should not submit confidential or highly sensitive information through AI-assisted conversations.
4. Legal Bases for Processing
Where laws such as the United Kingdom or European Union data protection rules apply, we may process information under one or more of the following legal bases:
- Performance of a service you requested.
- Our legitimate interests in operating, securing, and improving the Service.
- Your consent, where consent is requested.
- Compliance with legal obligations.
- Protection of users, communities, and legal rights.
You may withdraw consent where consent is the applicable legal basis, although this will not affect processing that already lawfully occurred.
5. How Information May Be Shared
We may share information only as reasonably necessary with:
Service Providers
Vendors that help us operate the Service may process limited information on our behalf. These may include:
- Website and server hosting providers.
- Cloud infrastructure providers.
- Database and backup providers.
- Artificial intelligence service providers.
- Security, logging, monitoring, and diagnostic services.
- Email or communication providers.
These providers are permitted to process information only for the services they provide to us, subject to their contracts and policies.
Connected Platforms
Information may be exchanged with Discord, Twitch, Steam, WordPress, or another platform when needed to provide an integration you or a community administrator has enabled.
Those platforms process information under their own privacy policies.
Legal and Safety Reasons
We may preserve or disclose information when we reasonably believe it is necessary to:
- Comply with law, regulation, legal process, or a valid government request.
- Investigate fraud, abuse, security incidents, or Terms violations.
- Protect the rights, safety, and property of users, communities, the public, or our Service.
- Establish, exercise, or defend legal claims.
Business Changes
If the Service or its assets are reorganized, transferred, merged, or acquired, relevant information may be transferred as part of that transaction, subject to applicable law and continued privacy protections.
6. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this Policy.
Retention periods vary depending on the type of information:
- Temporary conversation context may be retained only long enough to generate a response or troubleshoot an issue.
- Account links, preferences, rewards, progression, inventory, and player records may be retained while an account remains active.
- Server configuration may remain stored while Snorin’ Seamus is installed or until an authorized administrator requests removal.
- Security, diagnostic, abuse-prevention, and audit records may be retained for a reasonable period after an interaction.
- Backups may contain deleted information temporarily until they are overwritten through normal backup rotation.
- Information may be retained longer when required for legal compliance, dispute resolution, fraud prevention, or protection of the Service.
Removing Snorin’ Seamus from a server does not necessarily delete an individual user’s Captain’s Crew account or records associated with other connected communities.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication, secure connections, server protections, and restricted administrative access.
Snorin’ Seamus operates through Captain’s Crew infrastructure, including the Crow’s Nest server and Captain’s Crew website systems.
No internet service or storage system can be guaranteed completely secure. Users should protect their platform accounts and promptly report suspected unauthorized activity.
8. Your Privacy Choices and Rights
Depending on your location, you may have the right to:
- Request access to personal information associated with you.
- Request correction of inaccurate information.
- Request deletion of eligible information.
- Object to or restrict certain processing.
- Withdraw consent when processing is based on consent.
- Request a portable copy of certain information.
- Appeal a decision concerning a privacy request.
- Submit a complaint to an applicable privacy regulator.
We may need to verify your identity before completing a request. For Discord-related requests, verification may include confirming control of the relevant Discord account or user ID.
Some information may be retained when necessary for security, legal compliance, fraud prevention, backups, or the rights of others.
To make a request, contact us using the information in the “Contact Us” section.
9. Server Administrator Controls

- Select which channels Snorin’ Seamus can access.
- Configure server-specific settings.
- Limit bot permissions.
- Remove Snorin’ Seamus from the server.

10. Children’s Privacy
The Service is not directed to children under 13 years of age, and we do not knowingly collect personal information from children under 13.
Users must also meet the minimum age required by Discord, Twitch, and any other connected platform in their country.
Please contact us if you believe a child has provided personal information in violation of this Policy. We will investigate and take appropriate action.
11. International Data Processing
Our Service is operated from the United States. Information may be processed or stored in the United States or another country where our service providers operate.
Privacy laws in those locations may differ from the laws where you live. Where required, we will use appropriate measures for international data transfers.
12. Do Not Track and Automated Privacy Signals
Some browsers provide “Do Not Track” signals. Because there is not one universally accepted standard for responding to these signals, our systems may not respond to every Do Not Track setting.
Where legally required and technically supported, we will honor applicable recognized privacy preference signals.
13. Third-Party Links and Services
Snorin’ Seamus may provide links to websites or services we do not control.
This Privacy Policy does not govern Discord, Twitch, Steam, or other third-party services. Review their privacy policies to understand their practices.
14. Changes to This Privacy Policy
We may update this Privacy Policy when our Service, technology, data practices, or legal obligations change.
The updated policy will be posted with a revised “Last Updated” date. Material changes may also be announced through the Captain’s Crew website, Discord community, or another appropriate channel.
